Hey Ladybird — Terms of Service

These Terms of Service (“Terms”) govern your use of the Hey Ladybird mobile application (“the App”) and website at heyladybird.co.uk (“the Website”), operated by Hey Ladybird Ltd, a company registered in England and Wales (Company Number 17074553) (“we”, “us”, “our”).
By creating an account or using the App, you agree to these Terms. If you do not agree, please do not use the App.
Hey Ladybird is a family organisation app designed for parents and guardians. The App uses AI technology to scan documents, process emails, and extract information such as dates, costs, contacts, action items, and expiry dates to help you manage family administration.
Important: Hey Ladybird is designed for use by adults (aged 18 and over). Children do not use the App and cannot create accounts. Any information about children is entered and managed by the parent or guardian account holder.
To use Hey Ladybird, you must create an account with a valid email address and password.
You are responsible for maintaining the security of your account credentials and for all activity under your account. Please notify us immediately at hello@heyladybird.co.uk if you suspect any unauthorised access.
You may only create one account per person. Accounts are personal and non-transferable.
New users receive a free trial with the following limits:
• Duration: 7 days from account creation
• Scan limit: 10 document scans across all ingestion methods (Ladybird Lens, Ladybird Post, and Share Extension)
• Whichever limit hits first: the trial ends for scanning purposes
All other app features — Calendar, Ladybird’s List, The Nest, Family Profiles, and Ladybird Spots — remain fully accessible during and after the trial, even if you choose not to subscribe. You never lose access to data you have already created.
After the trial ends (day 8 or after 10 scans, whichever comes first), you must subscribe to continue scanning new documents. If you do not subscribe, you retain full access to all existing data and features — you simply cannot scan new documents until you subscribe.

Prices are in GBP and inclusive of VAT where applicable. We reserve the right to change standard pricing with reasonable notice. Founding Member pricing is locked for the lifetime of your continuous subscription (see below).
If you subscribe through the Apple App Store, payment is charged to your Apple ID account at confirmation of purchase. Your subscription includes a 7-day free trial. Your subscription automatically renews unless cancelled at least 24 hours before the end of the current billing period. You can manage and cancel subscriptions in your device Settings > Apple ID > Subscriptions. Apple’s terms of service apply to App Store purchases.
If you subscribe through our website (via Stripe), you have two options at checkout:
• Start a 7-day free trial: Your payment card details are collected and held securely by Stripe, but your card is not charged during the trial period. If you do not cancel before the end of day 7, your card is automatically charged on day 8 and your subscription begins.
• Pay immediately for unlimited access: Your card is charged straight away and you receive unlimited scanning access from the start, with no trial period.
You can cancel your website subscription at any time through your account settings or by contacting us at hello@heyladybird.co.uk. Refund requests within 14 days of your first payment are handled in accordance with UK consumer rights legislation (Consumer Contracts Regulations 2013).
The Founding Member offer is available to the first 100 families who convert to a paid subscription. Key terms:
• Pricing: £4.99/month or £39.99/year (50% off standard pricing)
• Price lock: Your Founding Member rate is locked for the lifetime of your continuous subscription. If you cancel and later resubscribe, standard pricing applies.
• Cap: Limited to the first 100 families. Once all 100 spots are filled, the offer closes permanently.
• Spot reservation: Your Founding Member spot is only secured when your first payment clears — not when you start a free trial. If you start a trial and all 100 spots are taken by other users who pay before your trial converts on day 8, you will be moved to standard pricing.
• The Founding Member page is distributed exclusively to our waitlist subscribers and is not publicly advertised.
Hey Ladybird uses artificial intelligence (including OCR via Google Cloud Vision and large language models via Anthropic’s Claude) to read documents, emails, and shared content and extract structured information. While we strive for accuracy, AI extraction is not infallible. You should always review extracted data before saving.
You are always in control. The App presents all AI-extracted data on a review screen where you can check, edit, approve, or discard information before it is saved. We never save extracted data without your explicit confirmation. Hey Ladybird’s AI does not make automated decisions that have legal or significant effects on you or your children.
• Ladybird Lens: Camera-based scanning of physical documents. The App uses your device camera to photograph documents. Photos are uploaded to our secure servers for text extraction and AI processing.
• Ladybird Post: A unique email address (e.g. your-family@post.heyladybird.co.uk) for forwarding school and family emails. Emails sent to this address are processed by our AI to extract dates, costs, contacts, and action items.
• Share Extension: Share content from any iOS app (WhatsApp, Mail, Safari, Photos, Files) directly into Hey Ladybird for processing.
Important: Your Ladybird Post email address is unique to your family and should be treated as private. Do not share it publicly (for example, on social media or public websites). If your address is shared publicly, third parties could forward unwanted emails to it, which would be processed by your account. If you believe your address has been compromised, you can request a new one by contacting us at hello@heyladybird.co.uk.
Your data is stored securely in the European Union (Supabase, Frankfurt, Germany). AI processing uses Anthropic’s Claude API and Google Cloud Vision, both covered by appropriate data transfer mechanisms (Standard Contractual Clauses) for any processing outside the EU. Hey Ladybird allows parents and guardians to store information about their children, including names, dates of birth, school details, and optionally medical information (allergies, medications, NHS numbers).
All children’s data is entered by the adult account holder, not by children. We process this data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the principles of the ICO Children’s Code (Age Appropriate Design Code).
Medical and health-related data (GDPR Article 9 special category data) is only collected when you grant explicit consent via a dedicated in-app toggle. This consent can be withdrawn at any time in Settings, at which point medical data is suppressed from all extraction and display.
Hey Ladybird donates 1% of every subscription to children’s charities. During onboarding, you choose which charity receives your contribution from a curated list. You can change your chosen charity at any time in Settings. We provide periodic updates on the collective impact of these donations.
When using Hey Ladybird, you agree to:
• Provide accurate information when creating your account
• Use the App only for lawful, personal family administration purposes
• Not attempt to reverse-engineer, copy, or redistribute the App
• Not use the App to process documents belonging to other people without their consent
• Not upload content that is illegal, harmful, or infringes third-party rights
• Not attempt to circumvent the scan quota, subscription requirements, or security measures
• Keep your Ladybird Post email address private and not share it publicly
The Hey Ladybird app, website, brand, mascot, and all associated content are the intellectual property of Hey Ladybird Ltd. You may not copy, modify, or distribute any part of the App without our written permission.
Content you upload or create within the App (documents, photos, profile data) remains yours. By using the App, you grant us a limited licence to process your content solely for the purpose of providing the service (AI extraction, storage, and display). We do not use your content for any other purpose, including training AI models.
You can delete your account at any time through the App (Settings > Delete Account). Account deletion permanently and irreversibly removes all your data, including:
• Your profile and family profiles
• All children’s profiles and associated data
• Calendar events, action items, costs, and contacts
• Documents stored in The Nest
• Expiry tracking items
• All scanned and extracted data
Important: If you have an active subscription, deleting your account does not automatically cancel your subscription. Please cancel your subscription first — via the App Store (Settings > Apple ID > Subscriptions) or by contacting us for website subscriptions — before deleting your account.

Key points:
• We are registered with the Information Commissioner’s Office (Registration ZC106730)
• We never sell your data
• We never show advertisements
• Analytics are consent-gated and opt-in only
• AI processing is used solely to provide the service
We aim to keep Hey Ladybird available at all times but cannot guarantee uninterrupted service. We may temporarily suspend access for maintenance, updates, or circumstances beyond our control.
We reserve the right to modify, update, or discontinue features of the App at any time. Where changes materially affect your use, we will provide reasonable notice.
Hey Ladybird is a productivity tool to help you manage family administration. It is not a substitute for professional medical, legal, or financial advice. You should always verify important information (such as medical details, payment deadlines, and event dates) against the original source documents.
To the maximum extent permitted by law:
• We are not liable for any loss arising from inaccurate AI extraction, missed deadlines, or decisions made based on information in the App
• We are not liable for any loss of data beyond reasonable efforts to maintain secure backups
• Our total liability to you in any 12-month period shall not exceed the amount you paid us in subscription fees during that period
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
We may update these Terms from time to time. If we make material changes, we will notify you through the App or by email. Your continued use of the App after changes take effect constitutes acceptance of the updated Terms.
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
